Privacy Policy

1. Who we are

BeeCrumbs Ltd ("BeeCrumbs", "we", "us", "our") is a company registered in England & Wales. We are the data controller for the personal data described in this policy, meaning we decide how and why your personal data is processed. You can contact us at info@beecrumbs.com.

This policy is written to comply with the UK GDPR, the Data Protection Act 2018, the Data (Use and Access) Act 2025, and the Privacy and Electronic Communications Regulations (PECR).

2. What this policy covers

This policy covers personal data we collect through:

  • the BeeCrumbs mobile app (iOS and Android), once launched;
  • our website at beecrumbs.com, including the pre-launch waitlist form; and
  • any communications between you and us (email, pilot enquiries, support).

We do not knowingly collect payment card data ourselves โ€” if and when premium subscriptions launch, payment will be handled by a third-party payment processor who will have their own privacy notice.

4. Sensitive ("special category") data

Because BeeCrumbs is a personal voice diary, what you choose to record may sometimes touch on special category data under Article 9 UK GDPR โ€” for example, references to your mental or physical health, sexuality, religious or philosophical beliefs, or similar. We don't ask you to disclose this information, but we can't control what you choose to say in a free-form voice entry.

Where our processing of your entries involves special category data, our lawful basis is your explicit consent, which we obtain when you first record an entry and are shown how BeeCrumbs analyses your voice diary. You can withdraw this consent at any time by deleting your account and data, which stops all further processing.

BeeCrumbs is a preventative wellbeing and peer-knowledge tool, not a medical or mental health service, and your entries are not reviewed by a clinician. If you are in crisis, please contact your university counselling service or a national helpline.

5. How and why we use your data

  • To provide the core service โ€” recording and storing your entries, generating your private reflection (mood/theme calendar, streaks), and matching you with other students based on shared themes and experiences.
  • To keep BeeCrumbs safe โ€” detecting abuse, harassment or illegal content, enforcing our Terms of Service, and responding to reports.
  • To communicate with you โ€” service updates, waitlist/launch updates, responses to support requests. You can unsubscribe from marketing emails at any time.
  • To improve BeeCrumbs โ€” understanding, in aggregate and wherever possible anonymised or pseudonymised form, how the app is used so we can improve it. We do not use your individual voice entries for advertising or sell them for this or any other purpose.
  • For university pilots โ€” where a partner university runs a pilot with us, we only ever share cohort-level, anonymised wellbeing insights, never individual entries or identities.
  • To comply with the law โ€” for example, responding to a valid legal request from a UK authority.

7. Who we share data with

We do not sell your personal data, and we are not funded by advertising. We share data only with the following categories of recipient, each acting as our data processor under a written data processing agreement (or, for the AI provider, as appropriate given the nature of the service):

  • AI processing provider(s) โ€” we use a third-party AI provider (for example, a large language model API) to help analyse the themes, tone and patterns in your voice entries so we can power reflection and matching. [Vendor not yet finalised โ€” to be named here, along with a link to their sub-processor/security documentation, before launch.]
  • Cloud hosting & infrastructure โ€” providers who store and run the app's servers and databases on our behalf. [Hosting provider and region not yet finalised โ€” to be confirmed before launch; see Section 8 on international transfers.]
  • Email delivery providers โ€” for sending waitlist updates, transactional emails (e.g. access codes) and support correspondence.
  • Payment processor โ€” once premium subscriptions launch, to process payments securely. We do not see or store your full card details.
  • Professional advisers & regulators โ€” where necessary, e.g. our accountants, lawyers, or the Information Commissioner's Office (ICO).
  • A future buyer โ€” if BeeCrumbs is ever acquired or merges with another company, your data may transfer as part of that deal, subject to the same protections in this policy.

We never share your individual voice entries, transcripts or derived themes with other users, universities, employers or third parties for marketing purposes. Matching is based on anonymised, thematic similarity โ€” a match only sees what you actively choose to share in conversation with them.

8. International data transfers

Some of our processors (in particular, AI providers) may be based outside the UK, including in the United States. Where we transfer personal data outside the UK, we put in place appropriate safeguards required by UK GDPR, such as the UK International Data Transfer Agreement (IDTA), the UK Extension to the EU-US Data Privacy Framework, or the UK's approved Standard Contractual Clauses, depending on the destination and provider. This section should be finalised with the specific safeguard relied upon once our hosting and AI vendors are confirmed.

9. How long we keep your data

  • Active accounts: we keep your data for as long as your account is active and you're using BeeCrumbs.
  • Deleted accounts: if you delete your account, we delete your voice entries, transcripts and derived data promptly, save for a short operational grace period (to allow recovery from accidental deletion and to purge backups), which will not exceed 30 days.
  • Waitlist data: kept until launch plus a reasonable follow-up period, or until you unsubscribe, whichever is sooner.
  • Legal/financial records: some records (e.g. relating to payments) may be kept longer where we're required to by law (typically up to 6 years for UK tax records).

10. How we protect your data

  • Encryption of voice entries and personal data, both in storage and in transit.
  • Face ID / passcode lock on the app before entries can be accessed.
  • Access to personal data is restricted to the people and systems that need it to run the service.
  • We review our security practices as BeeCrumbs grows, and require our processors to maintain appropriate technical and organisational security measures.

No system is 100% secure, but we take this seriously precisely because of how personal your entries are.

11. Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you;
  • Rectify inaccurate or incomplete data;
  • Erase your data ("right to be forgotten") โ€” in-app, this is as simple as deleting your account;
  • Restrict or object to certain processing;
  • Port your data to another service in a structured, machine-readable format;
  • Withdraw consent at any time, where we rely on consent (this won't affect processing already carried out);
  • Not be subject to solely automated decisions with legal or similarly significant effects โ€” our matching feature suggests potential connections, but you always choose whether to act on them.

To exercise any of these rights, email info@beecrumbs.com. We'll respond within one month, as required by law.

12. Age requirement

BeeCrumbs is intended for people aged 18 and over. We don't knowingly collect data from anyone under 18. If we become aware that we've collected data from someone under 18, we'll delete it and close the account promptly.

13. Cookies on our website

beecrumbs.com currently uses only strictly necessary cookies/technologies needed to operate the waitlist sign-up form (including basic spam/bot protection) โ€” we don't run analytics or advertising cookies on the website today. If that changes, we'll update this section and, where the law requires it, ask for your consent first.

14. Changes to this policy

We may update this policy as BeeCrumbs develops โ€” for example, once we finalise our hosting and AI providers, or launch premium subscriptions. We'll update the date below and, for material changes, let you know via the app or email.
